How to Cancel Cliniko

To manage cancellations in Cliniko, follow these steps:

Setting Up Cancellation Links

To allow patients to cancel their appointments online, you need to include a cancellation link in your appointment confirmation and reminder emails or SMS. Here’s how:

  • Go to Settings and select either Appointment confirmations or Appointment reminders.
  • Choose the applicable template and add a cancellation text, such as "If you need to cancel your appointment, you can do so here:".
  • Use the CancellationLink placeholder from the APPOINTMENT drop-down menu to insert the link.
  • Update the template to save changes.

Specifying Minimum Notice for Cancellations

To restrict when patients can cancel appointments:

  • Go to Settings and then General settings.
  • Scroll down to the Cancellations section.
  • Select a time under Minimum notice for cancellations to set the restriction.

Creating Cancellation Email Templates

To notify patients of cancelled appointments:

  • Go to Settings and select Appointment cancellations.
  • Create a new cancellation template or use the default one.
  • Customize the template with placeholders for dynamic content.
  • Link the template to specific appointment types under Appointment types.

Uncancelling Appointments

To restore a cancelled appointment:

  • Select the patient and go to their Appointments page.
  • Find the cancelled appointment and use the Actions drop-down to select Uncancel.

Notes on Payments and Cancellations

  • Patients cannot cancel online if they have paid in full for their appointment.
  • If a deposit is paid, they can cancel online unless the full amount is paid before the appointment.
