How to Cancel Dolibarr ERP CRM

To fully cancel and manage cancelled elements within the Dolibarr ERP/CRM system, follow these steps:

Canceling an Account or Subscription (DoliCloud Specific)

If you are using DoliCloud, which is a cloud hosting service for Dolibarr, you need to cancel your subscription and account through the DoliCloud customer dashboard.

  • Log in to your DoliCloud customer dashboard using the email and password you registered with.
  • Navigate to the "My account" menu and click on the "Delete my account" link.
  • You may be prompted to delete any active instances before proceeding with the account deletion.
  • Once your account cancellation is validated, you will no longer be able to use the service, and all your data will be destroyed. It is recommended to complete any data migration before making the cancellation request.

Canceling Invoices

When dealing with invoices in Dolibarr, there isn’t a direct "cancel" option, but you can manage cancelled invoices effectively:

  • If you have already validated and printed an invoice but need to cancel it, you cannot change the invoice number or status directly after validation.
  • Instead, generate a credit invoice to offset the debt of the customer. Include a note on the credit invoice referencing the cancelled invoice.
  • On the original invoice, you can add a note stating that it is incorrect and has been corrected by the credit invoice.
  • Alternatively, you can reopen the original invoice, add a total discount to make the total amount zero, and include a reason for the cancellation. This method does not affect accounting but serves as a workaround until a proper "cancel" feature is available.

Managing Cancelled Invoices

To keep track of cancelled invoices without affecting accounting or statistics:

  • You can use a workaround by creating a customer named "Voided" and moving all voided invoices to this customer. However, this is not ideal and can be cumbersome.
  • Another approach is to mark the invoice as "abandoned," but this is not recommended as it can add the amount to the customer’s debt and affect statistics.
  • The best practice is to use the credit invoice method to ensure that the financial records remain accurate and the cancelled invoice is clearly marked as such.

By following these steps, you can effectively manage and cancel various elements within the Dolibarr ERP/CRM system.
