Full Cancellation Instructions for Campspot

To manage cancellations effectively using Campspot, follow these steps:

Enabling Online Cancellations

1. Navigate to Campground Setup: Go to the Campground Setup section of your Campspot account.
2. Select Properties Tab: Click on the Properties tab.
3. General Page: Select the General page.
4. Enable Online Cancellations: Find the "Online Cancellations" option towards the bottom of the page and check the box to enable it. Click "Save Changes" to apply the changes.

Guest Cancellation Process

• Guests can cancel their reservations online through the Order Details link without needing to sign in.
• Once a cancellation is submitted, the guest will receive an email to verify the cancellation.
• Reservations can only be canceled online if they meet specific criteria: canceled on or before the arrival date, paid with a single credit card, and the credit card is valid at the time of cancellation.

Cancellation Policy Setup

1. Navigate to Rules Page: Go to the Rules page in your Campspot account.
2. Select Cancellation Policy Rule: Click on the Policy tab and select the Cancellation Policy Rule.
3. Create New Variation: Click "New Variation" to create a new rule.
4. Customize the Rule: Define the rule based on factors like seasonality, site types, arrival window, and length of stay. Specify refund amounts and fees as needed.

Handling Post-Arrival Cancellations

1. Create a Separate Rule: Navigate to the Rules page and create a new Cancellation Policy Rule specifically for post-arrival cancellations.
2. Customize Post-Arrival Rule: Set up the rule to handle payments after the arrival date, choosing whether to retain funds as a cancellation fee or transfer them to User Credit for refunds.

Notifications and Tracking

• Configure a BCC email to receive notifications of online cancellations.
• Use reports like the Reservation Summary and Cancellations report to track online cancellations.
