How to Cancel Auction Flex

To fully cancel an auction and manage the subsequent processes in Auction Flex, follow these steps:

Canceling the Auction

  • Log in to your Auction Flex account and navigate to the auction you want to cancel.
  • Go to the Auction menu and select the specific auction.
  • Update the auction status to "Cancelled" or a similar designation available in the system.

Refunding Bidders

  • Manage refunds from the “All Transactions” page.
    • In the Operations column, click on the Eye Icon for the transaction you need to refund.
    • Click the Refund button in the top right corner.
    • Choose between a full refund or a partial refund. For a partial refund, enter the amount you would like to refund.

Returning Unsold Items to Consignors

  • After canceling the auction, you may need to return unsold items to their consignors.
    • On the Auction Flex toolbar, click the Auction menu and select Clerk Auction.
    • Click the Remaining button and highlight all unsold items by clicking the first lot, then shift-clicking on the last.
    • Click the Clerk Selected Lots As Not Sold button and clerk the items to a previously set House Not Sold number.
    • To return unsold items, go back to the Auction menu, select Check-Out Bidders, then click the Advanced button.
    • Click the Unsold Lots button, select all items to be returned to consignor(s), and then click the Return To Consignor button.

Updating Auction Details and Notifications

  • Ensure that all auction details, including the cancellation notice, are updated in the system.
  • Notify bidders and consignors about the cancellation through the communication tools available in Auction Flex.
