How to Cancel CourseStorm
To manage cancellations and refunds efficiently on CourseStorm, follow these steps and guidelines:
Canceling a Registration
- To cancel a registration, navigate to the relevant registration in your CourseStorm account.
- Select "Actions" and then choose "Cancel & refund."
- You will be prompted to select the amount you want to refund to the student.
Refund Policy and Procedures
Time Limits for Refunds
Ensure your refund policy clearly outlines the timeframes for refunds. For example:
- Refunds must be requested at least 7 days before the class start date to be eligible. If a student cancels fewer than 7 days in advance, they may not be eligible for a refund.
Class Cancellation Policies
Cover common reasons for class cancellations, such as:
- Weather-related cancellations
- Personal cancellations by students
- Low enrollment
- Organization’s circumstances requiring cancellation
Specify how refunds will be handled in each situation. For instance:
- Full refunds or credit are awarded if a class cancels due to low registration or the organization’s circumstances.
Specific Exemption Information
Detail which fees will be refunded in each situation. For example:
- Administrative fees may be deducted from the refund amount.
- Materials fees might be refunded separately from class fees.
Refund Request Procedures
Describe the procedure for requesting a refund:
- Students must submit refund requests by email to a designated address (e.g., [email protected]).
- Refunds will be processed within 14 business days after receiving the request.
- Refunds will be issued back to the original payment method (e.g., credit card, check).
Flexible Payouts and Refund Reserve
CourseStorm offers a feature called "Refund Reserve" that allows you to manage your payouts and refunds more flexibly:
- You can set up monthly or weekly payouts while controlling the amount left in your account to cover potential refunds.
- This feature enables you to refund a class at any time, regardless of whether the original funds have been released to you or not, as long as you have sufficient funds in your account.
Sharing the Refund Policy
To ensure transparency and compliance:
- Share your refund policy on your main website menu.
- Include a link to the policy in the footer of your main website.
- Add the policy as a link at the bottom of each course description.
- For CourseStorm customers, you can also add the policy as a link in the intro text of your CourseStorm site or as a waiver on your class registration form.
