How to Cancel FuseDesk

To cancel a membership or subscription using FuseDesk, follow these steps:

Getting Ready

  • In FuseDesk, navigate to Case Tags under Settings and create a new Case Tag called "Cancel Membership" (or a name that suits your specific membership, e.g., "Cancel Gold Membership").
  • Go to Templates under Settings and create a new Email Template named something like "Membership Cancellation Confirmation." This template should include a message confirming the cancellation, such as "I’m so sorry to hear you’d like to cancel your membership. Your membership has been cancelled."
  • In Infusionsoft, create a Legacy Action Set to cancel the subscription.
  • In Infusionsoft’s Campaign Builder, create a new campaign.

Setting Up the Campaign in Infusionsoft

  • Add a Goal of Tag Added and create a new tag named something like "Cancel Membership [Automation]".
  • Link this goal to a new Sequence.
  • Within the sequence:
    • Add a Remove Tag process to remove the automation tag and any related membership tags that give the customer access.
    • Add an Apply Tag process to apply any tags that indicate the customer is no longer a member, such as a "Past Member" tag or a "PAYF" tag.
    • If your membership program uses a password field, add a Set Field Value process to clear out their password.
    • If necessary, add an HTTP POST to your membership site or platform to remove the member.
    • Add an Action Set (Legacy) process and choose the Action Set created earlier to cancel the actual subscription and prevent further billing.

Setting Up the Automation in FuseDesk

  • Navigate to Automations under Settings and click Add New Automation.
  • Give your automation a name, such as "Cancel Membership."
  • For the When condition, choose A Case Tag is Applied and select the "Cancel Membership" case tag created earlier.
  • For the automation actions:
    • Apply Infusionsoft Tag: Choose the campaign builder tag from above.
    • Reply by Email: Choose the cancellation confirmation email template created earlier.
    • Notify Slack: Notify your team via Slack (if applicable).
    • Change Status: Change the case status to Closed.
  • Click Save and Enable.

Triggering the Cancellation Automation

  • Open a case in FuseDesk and apply the "Cancel Membership" case tag on the Case Tags tab. This will trigger the automation, cancel the membership, notify the customer, inform your team, and close the case.

By following these steps, you can automate the membership cancellation process seamlessly using FuseDesk and Infusionsoft.
