How to Cancel Inven

To cancel an inventoried product order, follow these steps:

Cancellation Process

Pre-Cancellation Checks

  • Ensure the product has been added to the order and payment has been received.
  • Verify that a packing slip has not been generated. If a packing slip has been generated, you will need to process a return for the product instead of canceling the order.

Cancelling the Order

  • Navigate to the order in the system.
  • If the order contains a master line item, cancelling this line will automatically cancel all sub-items associated with it.
  • For standing orders, if the order includes component product sub-order lines that have been shipped, you must process returns for these items before canceling the order. If no shipped items need to be returned, you can select the “Terminate Standing Order” task to end future standing-order products.

Using the Cancellation and Refund Screen

  • If payment has been applied to the order, cancelling the line item will open the Cancellation and Refund screen.
  • On this screen, you can:
    • Accept or override a cancellation fee.
    • View transactions involved in the cancellation process.
    • Generate a refund directly from the screen.
    • Review balance information, receipt and refund amounts, and refund authorization.
    • See a line item summary of the cancellation and a summary of the transaction.

Refund Processing

  • To ensure the customer receives a full refund, apply a 100% refund to both the product and the associated shipping charge. If the shipping charge is not refunded, it will be automatically recalculated to other inventoried lines, resulting in a balance due.

Special Cases

  • If you cancel an order by mistake, there is no way to fix this from the Order Entry screen. You must create a new order or order line and transfer the money from the cancelled order.
  • For held lines, the system will prompt you to make the held line "Proforma" or "Active" before cancelling it.

Re-opening Canceled Orders

  • If you need to re-open a canceled order, click the same button that was used to cancel it, now labeled as “Re-open Order.” This will restore the order to its previous status, allowing further editing. You may also need to manually reverse inventory movement or payment by clicking “Unfulfill” or “Unpay” if necessary.

By following these steps, you can effectively cancel an inventoried product order and manage any associated refunds or order adjustments.
