How to Cancel LS Retail
To create a full cancellation policy in LS Retail, particularly for the hotel module, follow these steps:
Creating a New Cancellation Policy
- From the Navigation menu in the Hotel Back Office role center, click on Rate Management to display the Navigation bar.
- From the Navigation bar, click on Cancellation Policy.
- Click the New action to open the Cancellation Policy card.
Filling in the Cancellation Policy Fields

Cancellation Code: Enter a unique ID for the cancellation policy.

Description: Provide a description of the cancellation policy.

Cancel Policy Type: Select the functionality behind the cancellation policy. Available selections include:
- Charge Within Days/Time before Arrival
- Charge Within Days/Time after Confirmation
- Other types depending on the system configuration.
Setting Up Cancellation Fees
For Cancellations

Cancel within No. of Days: Specify how many days prior to arrival or after confirmation the fees are applied when canceling.

Cancel Time: Define the time when the fees are applied. This field is used together with Cancel within No. of Days.

Cancel Charge Type: Select how the calculation should be made (e.g., percentage, amount, or number of nights).

Cancel Charge Value: Specify the percentile, amount, or number of nights to charge for cancellation.
For No-Shows

No Show Charge Type: Select how the calculation should be made (e.g., percentage, fixed amount, or number of nights).

Number of Nights: Specify how many nights to charge for no-show if using the Number of Nights charge type.

No Show %: Specify the percentage to charge for no-show if using the Percentage charge type.

No Show Amount: Specify the fixed amount to charge for no-show if using the Fixed Amount charge type.
For Early Checkouts

Early Checkout can be configured similarly to cancellations and no-shows, using fields like Cancel Charge Type and Cancel Charge Value.
- Early checkout can be initiated from the POS, through the POS command EARLYCHECKOUT, or on the Hotel Reservation Card using Actions – Functions – Early Check-out.
Additional Settings

Cancellation Posting: Specify the item number used for all financial postings for the cancellation fee.

Prompt When Applying: If enabled, the user will be prompted to confirm whether the cancellation policy should be applied when a cancellation is made. If disabled, the cancellation policy will always be applied automatically.
Applying the Cancellation Policy
- The cancellation policy is applied through the rate code in Rate Configuration.
- The policy details can be viewed on the Hotel Reservation Card by drilling down to the Cancellation Policy card.
