Who is Capacities for?

Capacities is a modern note-taking and personal knowledge management (PKM) platform designed to function as a “studio for your mind.” Instead of using traditional folders and pages, it structures information as interconnected objects such as people, meetings, books, or projects.

The platform emphasizes helping users think, not just store information. Notes are linked dynamically, allowing users to explore relationships between ideas and retrieve context when needed. Features like daily notes, powerful search, and customizable object types enable users to build a personalized knowledge system tailored to their workflow.

Capacities positions itself as an individual-first tool rather than a team collaboration platform. Its focus is on creating a private, distraction-free environment where users can develop ideas and organize knowledge deeply before sharing it externally if needed.

Key Features and Benefits

  • Object-based note system – Structure information as entities like people, books, or projects instead of static pages
  • Custom object types – Create tailored data structures with properties to match workflows
  • AI assistant – Interact with notes, generate ideas, and summarize content dynamically
  • Daily notes and planning – Capture thoughts, meetings, and tasks in a chronological flow
  • Graph-like linking – Connect notes and surface relationships across knowledge
  • Smart search and queries – Retrieve content quickly using filters, tags, and object queries
  • Calendar and task integration – Combine scheduling and task tracking with knowledge workflows

Who Can Benefit from Capacities

  • Knowledge workers – Build structured systems for managing complex information
  • Writers and creators – Develop ideas and content with interconnected notes
  • Students and researchers – Organize and connect study materials and insights
  • Founders and solo operators – Centralize thinking, planning, and execution
  • Personal productivity enthusiasts – Create a customized “second brain” system

If you prefer different approaches to knowledge management, tools like Notion, Obsidian, and Tana offer alternatives with varying levels of flexibility, collaboration, and AI integration. Some emphasize structured databases, while others rely on plugins or automation.

What I like about Capacities is the quick onboarding. The moment you login, you can immediately do what you gotta do without needing to work more on organizing.
Is there something that almost made you stop using it?
Nothing actually. Capacities has been great for note taking and for personal knowledge keeping. Helps me keep track with my life.
What new feature would you love to see added?
I think Capacities the way it is already. It's very efficient for its purpose and no changes will be necessary to improve, unless the company or other users nitpick something.
Final thoughts, wrap up what you think
I would highly recommend it because the quick onboarding and object-based structure make it incredibly easy to start writing notes without worrying about folder organization. It's a very efficient and seamless platform for personal knowledge management.
